Issue: My participants are not showing in the Networking session

Sometimes, participants already registered to your event do not appear in the Networking session. This guide explains why this can happen, how to check the configuration, and how to fix the issue.

1. Problem

  • You’ve created a Networking session. Participants are registered to your event, but they don’t show up under the “Participants” tab in the Networking module.

2. Likely cause

In most cases, this happens because participants were registered before the Networking session was created.

  • This is a common situation. The system can only associate a participant with a Networking session if the session already existed at the time of registration, whether registration was done via form, manual entry, or file import.

3. Best practice

To avoid this issue:

  • Always create your Networking session before registering any participants to the event. That way, participants will automatically be linked to the session.

4. How to check if participants are properly linked to the Networking session

  • Check inside the Networking module
    • Go to the Networking module

    • Click on the Participants tab

    • If participants appear here, they are correctly associated

  • Check from each participant’s profile
    • Go to Registration > Attendees

    • Open a participant’s profile

  • There are two possibilities: 
    • Correctly set up: the profile displays a “Networking” tab

    • Not linked: this tab is missing

5. What to do if participants were registered before the Networking session was created

Case 1: You only have a few participants

  • Go to Registration > Attendees

  • Open each profile and click “Save”

  • The system will now recognize the participant as part of the Networking session

Case 2: You have many participants

  • Send an email to help@eventtia.com

  • Let us know that participants were registered before the Networking session was created

  • Our team will help update their profiles accordingly
