How to deal with spam and undelivered emails effectively

With this article, learn the main causes of spam and undelivered emails, and discover the best ways to ensure your Eventtia messages reach your attendees.

In most cases, this happens because the emails are filtered as spam by their email system. A good use case illustrating why it's important to properly deal with spams and undelivered emails, is for example organizations that can’t implement domain redirection due to security restrictions, DNS conflicts, or lack of authorization.

We’ll walk you through several effective ways to prevent this issue and help you better understand how email deliverability works.

Solution n° 1 : Bring your own domain

This process allows all your mass communications sent through Eventtia (welcome emails, mass messages, networking notifications, etc.) to be delivered on behalf of your own domain.
That means instead of coming from notifications@eventtia.com, your emails can be sent from an address like events@yourdomain.com.

Refer to this article for the step-by-step instructions on how to apply this solution.

  • Why it works
Many companies email system automatically block messages from unfamiliar domains—such as eventtia.com—especially when the domain’s reputation is affected by global email activity.
Since Eventtia sends thousands of emails daily for hundreds of clients, each unsubscribe or bounce can slightly impact the domain’s reputation.
By sending emails from your own domain, your messages inherit your domain’s reputation, which is already recognized and trusted by your attendees’ mail servers. This greatly increases the chances of successful delivery.

Solution n°2 : Optimize the Content of Your Emails

Even when your technical setup is correct, the content of your message can still trigger spam filters. Certain design or wording choices make emails look suspicious, even if your intentions are legitimate.
By avoiding these elements, you significantly increase your chances of getting through spam filters.

Tips to avoid spam triggers

  1. Avoid using one large image or image-heavy layouts. Keep more text than visuals.

  2. Limit bright colors, flashy backgrounds, ALL CAPS, or excessive punctuation (e.g., “!!!”).

  3. Use one font style consistently throughout your email.

  4. Don’t overload your email with links, buttons, or emojis.

  5. Avoid “salesy” language such as “Buy Now,” “100% Guaranteed,” or “Limited Offer.”

  6. In your email subject, try to use the participant name, email or any other information that makes that email unique.  Same for the body.  This decreases the chances of that email being flagged as spam by the different email servers.
  • Why it works
Clean, consistent, and natural-looking emails are far less likely to be marked as spam.

Solution n°3 : Whitelist the Eventtia domain (Recommended for internal or single company e-mail campaigns)

If you’re hosting an internal event—or targeting attendees from one specific company—ask their IT department to whitelist the eventtia.com domain.
This ensures that all emails coming from Eventtia are automatically trusted by their servers.

  • Why it works
Whitelisting guarantees that messages sent from Eventtia reach the intended recipients within that company.
If you’ve already set up the Eventtia email redirection, you can also request their IT team to whitelist your own domain instead.

To ensure your event emails reach your attendees, make sure your domain is properly configured, keep your email content clean and free of spam triggers, and, when applicable, request whitelisting from the recipient’s IT team.

With these best practices in place, you’ll be able to anticipate and prevent most email-related issues before they happen!
